Regie.ai, a fast-growing AI-powered sales engagement platform, recognized the need to modernize its marketing operations to support its next stage of growth. The company had outgrown its legacy marketing automation platform, Marketo. It became a bottleneck for campaign agility, data transparency, and marketing-sales alignment. Despite a substantial paid media budget in recent years, Marketo couldn’t keep up. It lacked the attribution and performance reporting needed to measure impact, ultimately leading the team to cut all ad spend. With a hard deadline looming to exit Marketo, Regie.ai turned to accelant for an accelerated migration to HubSpot. 

In just four weeks, accelant delivered a full-funnel HubSpot solution tailored to Regie.ai’s specific needs. This included a bi-directional Salesforce integration, email nurture campaigns, campaign attribution setup, and a rebuilt marketing asset library. The implementation not only met a tight timeline but also laid the foundation for scalable, insight-driven marketing. 

 

THE CHALLENGE

Before partnering with accelant, Regie.ai faced significant friction in their marketing operations. Despite having a talented team and a powerful product, their technology stack limited their ability to execute efficiently or measure campaign performance with confidence. 

Inefficient Systems Stalling Growth 

Regie.ai’s marketing team was constrained by Marketo’s outdated UI and steep learning curve. They found the system was effectively limited to a single power user, creating operational risk and limiting campaign velocity. Everyday tasks such as A/B testing, landing page creation, and campaign tracking were cumbersome and resource intensive. 

Limited Attribution and Insight 

Even with significant investment in paid media, Regie.ai had little visibility into what was working. Attribution data was non-existent, and campaign reporting was isolated to individual ad platforms without a unified view of performance across the funnel.

With their Marketo contract expiration quickly approaching, Regie.ai needed to transition quickly to avoid disruption. The project required speed without sacrificing strategic alignment.

To meet the urgency of Regie.ai's migration and the complexity of their operational landscape, accelant delivered a multi-pronged implementation plan. The solution focused not only on replicating existing capabilities from Marketo but also on transforming Regie.ai's marketing infrastructure for improved usability, integration, and insight. 

Comprehensive Asset and Workflow Migration 

All essential assets—email templates, landing pages, forms, and nurture streams—were migrated from Marketo to HubSpot. Rather than duplicating legacy complexity, accelant prioritized clarity and scalability, collaborating with the Regie.ai team to determine which assets to retire, recreate, or reimagine.

Custom Salesforce <> HubSpot Integration 

A bi-directional sync was configured to maintain data integrity across Salesforce and HubSpot. Core records were mapped carefully to respect existing workflows. Opportunities from Salesforce were synced into HubSpot for revenue attribution and full-funnel visibility, while ensuring marketing did not overwrite sales data. 

 

Unified Attribution and Reporting Dashboards 

accelant implemented foundational dashboards in HubSpot covering campaign performance, lifecycle conversion tracking, MQL volumes, and lead source attribution. UTM parameters and ad accounts were also connected to enable unified campaign analysis. 

 

Lifecycle Stage Alignment 

Regie.ai was aligned to HubSpot’s native lifecycle stages using a combination of platform functionality and custom criteria based on their internal processes. This setup ensured that contacts moved through the funnel in a way that reflected how Regie.ai defines and qualifies opportunities, creating a smoother handoff.

accelant provided hands-on training, office hours, and delivered clear documentation to equip Regie.ai’s team to confidently own their new HubSpot environment.

Training was tailored to meet each team member where they were. The highly technical Marketo expert, who was brand new to HubSpot, received in-depth guidance on operations and admin setup. Meanwhile, enablement for the CMO and broader team focused on high-level reporting, attribution, and campaign management.
